Wander Scotland Trip Planning Services: Terms and Conditions
Fàilte! We’re genuinely excited to help you plan your trip to Scotland.
We’ve written these Terms and Conditions to be as clear and straightforward as possible. The aim is simple: you understand exactly what’s included, what to expect, and where responsibilities sit on both sides. That said, there are a few legal elements we need to include to protect both you and us.
Important:
Payment confirms acceptance of these Terms
It is your responsibility to read and understand them before booking
If anything is unclear, you’re always welcome to get in touch

Our Contract
Wander Scotland provides personalised travel planning services (“Services”).
By booking any service with us, you agree to these Terms, which form the full agreement between you and Wander Scotland.
We may update these Terms from time to time. Any updates take effect once published, and we recommend keeping a copy for your records.
What we do (and don’t do)
Wander Scotland is a travel planning service. We design, recommend, and guide — but we are not a travel agency.
We provide:
Custom Scotland itineraries and route planning
Accommodation, experience, and restaurant recommendations
Practical travel advice and local insight
We do not:
Book or advise on flights
Act as a travel agent
Automatically book accommodation or experiences on your behalf
Accommodation bookings (by exception):
In some cases, we can book accommodation on your behalf, but only where:
this has been agreed in advance
you have provided explicit permission for us to use your card for bookings
your card details are held securely via a trusted third-party provider
Booking & Payment
All services must be paid in full up front
Payment is taken securely via Stripe or Square via Squarespace
Prices are subject to change at any time, but confirmed bookings will not be affected
If a payment fails or is declined, you are responsible for any associated fees.
Refund Policy & Complaints
All services are non-refundable.
However, if you’re unhappy with any part of the service, please get in touch; we will always aim to resolve the issue fairly and reasonably.

Accommodation
Scotland has limited accommodation, and the best places book out early — often months in advance.
Recommendations are made based on real-time availability, where possible
Availability can change quickly after delivery
We strongly recommend booking as soon as the options are shared
If accommodation is not booked promptly, and availability changes:
We are not responsible for securing alternatives within the original scope
Additional research or revisions may require a new service or fee
Extended Trips & Group Sizes
Our Route Planning and Complete Itinerary services are designed for trips of up to 12 days and up to 4 travellers.
Trips exceeding this scope require a custom quote prior to booking.
It is the traveller’s responsibility to:
select the correct service, or
request a custom quote where required
If a service is booked that does not match the trip requirements:
Wander Scotland reserves the right to charge an additional fee to extend the scope of work; or
limit delivery to the original service scope
No refunds will be issued where the incorrect service has been selected.
Client Responsibilities & Communication
To deliver the best possible itinerary, you agree to:
Provide accurate and complete information
Respond to questions and drafts in a timely manner
If a lack of information significantly increases the scope of work, we may:
Charge an additional fee, or
Cancel the service with a partial refund
Communication
From us:
We aim to respond within 72 business hours
Standard working hours: Monday–Friday, 9am–5pm (UK time)
Where you are based overseas, we will always find a suitable time across time zones for any scheduled calls
From you:
If we don’t receive a response within 14 days, the project will be considered complete and closed
Reopening a project may:
Incur a £50 admin fee
Be treated as a new booking
Conduct
We expect all communication to remain respectful and professional. We reserve the right to terminate services if behaviour is aggressive, abusive, or inappropriate. A partial refund may be issued depending on the work completed.
Support boundaries
All support is pre-trip planning support unless otherwise stated
In-country support is non-emergency only
Urgent or out-of-hours requests must be agreed in advance and may incur additional fees
Support is offered via Zoom, WhatsApp and email only
Project Timeline & Deferred Travel
Our services are designed to support a specific trip within a reasonable planning timeframe.
If a trip is postponed for an extended period (including to a future season or year), the original service will be considered complete
We are not able to “pause” and resume planning indefinitely
If you choose to revisit your trip at a later date:
This will be treated as a new engagement, or
May be subject to an administration or reactivation fee, depending on the level of work required
This ensures we can account for changes in availability, pricing, and recommendations over time.
Right to Terminate
We may end the agreement if:
Scope repeatedly changes beyond what was agreed
Communication breaks down
The service becomes unworkable
In this case:
A partial refund may be issued
No further work will be carried out
Travel Insurance
We strongly recommend that all travellers take out comprehensive travel insurance before their trip.
It is the traveller’s responsibility to ensure they have appropriate cover in place
This should include (but is not limited to):
trip cancellation or disruption
medical expenses and emergency treatment
personal belongings and travel delays
activities included within your itinerary
Wander Scotland is not responsible for:
Any costs incurred due to lack of insurance
Cancellations, delays, or disruptions to your travel plans
Issues arising from third-party providers
Legal & Liability
