Itinerary & Travel Planning

Terms & Conditions

These Terms & Responsibilities apply to all clients who book bespoke itinerary planning services with Wander Scotland (“us,” “we,” “our”), operating under the wider travel brand Wander Somewhere. By confirming a booking, you acknowledge and agree to the following:

1. Scope of Service

Wander Scotland provides personalised travel planning support, including custom itineraries, route suggestions, accommodation and activity recommendations, and practical travel guidance.

All services are planning-only, unless otherwise agreed in advance. We do not make bookings, hold reservations, or act as a travel agent.

2. Use of Information & Accuracy

All itinerary content, maps, and recommendations are provided for general planning purposes only.

While every effort is made to ensure information is accurate at the time of preparation, details such as opening hours, prices, availability, routes, transport schedules, and third-party services may change at short notice.

We cannot guarantee that all information will remain current and recommend that clients independently verify key details before booking.

3. Traveller Responsibility

Clients are solely responsible for:

  • making and managing all bookings (unless otherwise agreed)

  • confirming availability, pricing, and suitability of services

  • ensuring activities, accommodation, transport, and routes are appropriate for their needs, abilities, and circumstances

Scotland is a busy travel destination, particularly during peak seasons. Accommodation, ferries, restaurants, and tours often sell out well in advance. We cannot be held responsible if preferred options are unavailable at the time of booking.

4. Third-Party Providers

We may recommend or reference third-party providers, including hotels, restaurants, tour operators, transportation services, and attractions.

These providers operate independently. We have no control over their services and accept no responsibility for their quality, safety, reliability, availability, or conduct.

All bookings and transactions with third parties are entered into at the client’s own discretion and risk.

5. Travel Risks & Liability

Travel involves inherent risks, including (but not limited to) delays, cancellations, weather disruption, accidents, illness, and loss of personal belongings.

By engaging Wander Scotland, clients acknowledge that they travel at their own risk and accept full responsibility for their safety, health, belongings, and travel arrangements.

To the fullest extent permitted by law, Wander Scotland accepts no liability for any loss, injury, damage, expense, or inconvenience arising directly or indirectly from the use of its services or reliance on its content.

Nothing in these terms limits liability where such limitation is not permitted by law.

6. Travel Insurance

Comprehensive travel insurance is strongly recommended for all clients.

At a minimum, insurance should cover:

  • trip cancellation or interruption

  • travel delays

  • medical expenses and emergency evacuation

  • loss, theft, or damage to personal belongings

7. Client Responsibilities During the Planning Process

7.1 Providing Information

Clients must provide accurate, complete, and timely information when requested. If the required information is delayed or incomplete and this materially increases the scope of work, we reserve the right to:

  • charge a reasonable administration fee to reflect additional work; or

  • cancel the service and refund the fee minus a reasonable administration deduction.

7.2 Client Conduct

Clients are expected to communicate respectfully and professionally. Aggressive, abusive, or inappropriate behaviour will not be tolerated.

Wander Scotland reserves the right to terminate the agreement immediately in such circumstances. Any refund issued will reflect the proportion of work completed and is issued at Wander Scotland’s discretion.

8. Communication & Support

8.1 Our Availability

We aim to respond to client communications within 48 business hours, Monday to Friday, excluding UK public holidays.

Itinerary planning services include pre-trip support only. Emergency assistance, urgent issues, or support once travel has commenced are not included and may not receive a response within standard timeframes.

Any requirement for urgent, time-sensitive, or out-of-hours support must be agreed in writing in advance and may incur additional fees.

We can communicate via WhatsApp, Zoom, or email.

8.2 Communication Channels

Client communication is conducted via:

  • Email

  • WhatsApp

  • Scheduled Zoom calls

Wander Scotland does not provide unscheduled telephone support. Direct phone calls are not included as part of the service unless expressly agreed in advance.

8.3 Client Response Expectations

Clients are responsible for responding to itinerary drafts, questions, and requests for information where reasonably required to complete the service.

If no response is received within two (2) calendar weeks, the itinerary will be deemed complete, and the project will be closed.

Any further amendments or re-engagement after this point will be treated as a new service and may incur a £50 administration fee, plus applicable service charges. This may be waived or adjusted at Wander Scotland’s discretion where prior written agreement exists.

9. Right to Terminate by Wander Scotland

Wander Scotland reserves the right to terminate the agreement if continuation becomes unfeasible, including due to:

  • unreasonable or continually changing demands

  • repeated scope changes

  • breakdown of communication

In such cases, the client will receive a reasonable refund reflecting the proportion of work not yet delivered. Once a termination notice is issued, Wander Scotland has no further obligation under the agreement.

10. Unavailability of Services

Wander Scotland is not responsible if recommended services or routes are unavailable at the time of booking, including but not limited to:

  • accommodation

  • tours and experiences

  • ferries and transport

  • restaurants and attractions

No compensation or liability arises from such unavailability.

11. General User Responsibilities

Clients must follow all applicable laws, signage, access rights, safety guidance, and instructions from transport providers, landowners, emergency services, and local authorities while travelling.

Appropriate travel insurance remains the client’s responsibility at all times.

Final note

These terms exist to keep expectations clear and ensure a positive experience for both parties. If you have any questions about what’s included or how the service works, Wander Scotland is always happy to clarify before planning begins.
